1. Introduction

TPRC Philippines Recruitment ("TPRC", "we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website at tprc.ie and use our recruitment services across Ireland.

Who is responsible for your information. The organisation that decides how your personal information is used, known as the "data controller" under the EU General Data Protection Regulation (GDPR), is Philippines Recruitment Company Pty Ltd, trading as The Philippines Recruitment Company (ABN 15 159 949 836), of Unit 4 / 245 Churchill Avenue, Subiaco WA 6008, Australia. You can reach us by email at hello@tprc.ie.

We are an Australian company providing recruitment services to people and businesses in Ireland, so your information is handled outside the European Economic Area. The section on international data transfers below explains where it goes and how it is protected.

2. Information We Collect

We may collect the following types of personal information:

  • Contact details: name, email address, phone number, and postal address
  • Professional information: work history, qualifications, trade certifications, skills, and references
  • Immigration details: passport information, employment permit status, and work rights documentation
  • Employer information: company name, industry, company registration details, workforce requirements, and contact details
  • Website usage data: IP address, browser type, pages visited, and cookies

3. How We Use Your Information

We use your personal information to:

  • Match candidates with suitable employment opportunities
  • Process recruitment applications and employment permit documentation
  • Communicate with you about job opportunities, services, and updates
  • Verify qualifications, references, and work rights
  • Comply with Irish and EU immigration and employment laws
  • Improve our website and services
  • Send newsletters and marketing communications (with your consent)

Under the GDPR we need a lawful basis for each of these uses. Ours are:

  • Performing a contract, or taking steps at your request before entering one: matching candidates to roles, progressing applications, and delivering recruitment services to employers.
  • Our legitimate interests: running, securing, and improving our services, keeping our records accurate, and contacting businesses about their recruitment needs. We always weigh these against your rights and interests.
  • Legal obligation: meeting immigration, employment, tax, and record-keeping requirements.
  • Your consent: marketing emails and non-essential cookies. You can withdraw your consent at any time, and doing so does not affect anything we did before you withdrew it.

4. AI-Assisted Candidate Shortlisting

When an employer asks us to fill a role, we use an in-house tool to search our candidate database and the applications we have received and to suggest the people who most closely match what the employer has asked for. If you have applied to us or are in our candidate database, your information is processed by this automated shortlisting step.

It works from the information you have given us and the requirements of the role: your trade and the job titles you have held, your qualifications, certifications and licences, your years and type of experience, the skills and equipment you have listed, your location and availability, and your right to work where the role is based. It does not analyse your face, your voice, or your emotions, and it does not use information bought from data brokers or scraped from social media.

A person reviews every shortlist. One of our recruitment consultants reviews each shortlist before it leaves us, and can add candidates the tool did not suggest or remove ones it did. The tool does not reject anyone on its own, and it does not make the hiring decision. The employer does. Because a member of our team reviews every shortlist and decides who we put forward, this is not a decision based solely on automated processing within the meaning of Article 22 of the GDPR.

You can ask us whether AI was involved in a shortlisting outcome that affected you, ask a person to review your application again, ask us to explain in plain language the main reasons an outcome went the way it did, ask us to leave you out of AI-assisted shortlisting and consider you manually instead, or correct information we hold about you. 5. Information Sharing and Disclosure

We may share your personal information with:

  • Prospective employers (for candidates) or prospective candidates (for employers)
  • Government agencies for employment permit applications, qualification recognition, and compliance purposes
  • Third-party service providers who assist in our recruitment operations
  • Professional advisors including lawyers and accountants

We will never sell your personal information to third parties for marketing purposes.

We use the following service providers to deliver our services, and they may handle your personal information on our behalf:

  • Google Analytics, which measures how our website is used, but only if you accept analytics cookies;
  • HubSpot, our customer relationship management system, where enquiry records are stored;
  • Resend, which delivers the summary emails we send you.

These providers act on our instructions under contract and are not permitted to use your information for their own purposes.

6. Data Security

We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, alteration, disclosure, or destruction. This includes encrypted data storage, secure communications, and restricted access controls.

7. Cookies and Tracking

Our website uses cookies that are strictly necessary for the site to work. Only with your consent, we also use analytics and tracking cookies set by Google Analytics and HubSpot, which help us understand how the site is used and where our visitors come from.

When you first visit, a banner asks whether you accept these cookies. Until you accept, no analytics or tracking cookies are set and none of those scripts are loaded. Rejecting is as easy as accepting, and the site works normally either way: you can still contact us and submit forms. Your choice is stored in your browser and remembered on future visits.

You can change your mind at any time using the Cookie Preferences link in the footer of every page. Withdrawing consent stops further tracking and clears the analytics and tracking cookies already set. You can also control cookies through your browser settings.

8. Your Rights

Under the GDPR you have the following rights over the personal information we hold about you. Using them is free.

  • Access: ask for a copy of the personal information we hold about you, and for an explanation of how and why we use it.
  • Rectification: have information that is inaccurate corrected, and information that is incomplete completed.
  • Erasure: ask us to delete your information where we no longer need it. This is sometimes called the "right to be forgotten". We may have to keep some records where the law requires it, and we will tell you if that applies.
  • Restriction: ask us to pause using your information, for example while we check the accuracy of something you have disputed.
  • Portability: receive the information you gave us in a common, machine-readable format, or have us send it directly to another organisation where that is technically feasible.
  • Objection: object to us using your information on the basis of our legitimate interests, including AI-assisted shortlisting. If you object to direct marketing we will stop, without exception.
  • Withdrawing consent: where we rely on your consent, which covers marketing emails and non-essential cookies, withdraw it at any time. This does not affect anything we did before you withdrew it. For cookies, use the Cookie Preferences link in the footer; for marketing, use the unsubscribe link in any email or contact us.
  • Human review of automated processing: ask a person to review an outcome that our AI shortlisting tool helped produce, and ask us to explain it.

How to exercise these rights. Email us at hello@tprc.ie or write to us at Unit 4 / 245 Churchill Avenue, Subiaco WA 6008, Australia. Tell us which right you want to use and enough detail for us to find your records; we may ask you to confirm your identity first. We will respond within one month, and if your request is complex we will tell you and may take up to two further months.

Complaints. If you are unhappy with how we have handled your personal information, please tell us first so we can try to put it right. You also have the right to complain to the Irish supervisory authority, the Data Protection Commission, 21 Fitzwilliam Square South, Dublin 2, D02 RD28, Ireland. You can also complain to the supervisory authority in the EU country where you live or work.

9. Data Retention

We retain your personal information for as long as necessary to fulfil the purposes outlined in this policy, or as required by law. Candidate records are typically retained for up to 7 years after your last interaction with us.

10. International Data Transfers

Your personal information is transferred outside the European Economic Area (EEA). It is stored in, or accessible from:

  • Australia: our head office, and the team that manages Irish enquiries and placements;
  • the Philippines: our candidate sourcing and recruitment operations;
  • the United States: HubSpot, our customer relationship management system, Resend, which delivers our emails, and Google Analytics, if you have accepted analytics cookies.

Neither Australia nor the Philippines is covered by a European Commission adequacy decision. We therefore rely on the European Commission's standard contractual clauses, backed by additional measures including encryption in transit and at rest, restricted access, and contractual confidentiality obligations. For transfers to the United States we also rely on our providers' certification under the EU–US Data Privacy Framework where they hold one. You can ask us for details of the safeguards that apply to your information using the contact details at the end of this policy.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated revision date. We encourage you to review this policy periodically.
